Intopoland (the “Company”), National License No. 1072, is an independent Polish Tour Operator responsible for the travel services offered in this website. The following Terms and Conditions apply generally to all the products and services sold by Intopoland. Please ensure that you read them carefully and understand them prior to booking. Your payment to the company confirms acceptance of these Terms and Conditions.
Our rates are calculated in Polish Zloty (PLN). All payments are to be made in Polish Zloty. We mention quotes in other currencies only for orientation purpose.
Foreign currencies and their rates of exchange to PLN fluctuate daily. That is why we suggest our customers that they pay full amount at the moment of making reservation. Once the tour is paid for, the price is guaranteed and we never ask for additional payments – full up-front payments thus reduce risks for both contracting parties.
Prices are valid for the dates indicated in itineraries. Rates quoted are appropriate at the time of quoting and these rates may change prior to the travel date. However there will be no change within 30 days of your departure. Prices shall be final and subject to no change once payment in full has been received.
RESERVATION: DEPOSIT & FINAL PAYMENT
To make reservation we require deposit of 50% of total tour price. Your booking is not confirmed and payment is not deemed made until the deposit is received by Intopoland and you receive a confirmation invoice. From this point cancellation charges will apply. Final payment is due 30 days before commencement of the tour.
If final payment is not received by the due date, your reservation may be cancelled and cancellation charges will be due.Full payment at the time of booking is required to hold reservations made within 30 days from commencement of the tour. Once the tour is paid in full, you will receive a confirmation voucher containing travel information such as final itinerary, guides names, contact details, hotels addresses, etc.
We will also need your flight details (at least 30 days before the tour).
Please review and verify your confirmation voucher thoroughly and contact us immediately if the voucher appears to be incorrect or incomplete, as it may not be possible to make changes later. We cannot accept responsibility if we are not notified of inaccuracies.
METHODS OF PAYMENT
We accept card payments with the following cards: Visa, Visa Electron, Mastercard, MasterCard Electronic, Maestro
Secure on-line payments are supported by eCard S.A.. There is no fee for credit card payments.
Alternatively, you can make a bank transfer. International direct deposits attract bank fees which you will need to cover (symbol: OUR).

CANCELLATIONS & CHANGES
Cancellation and Changes by the Company:
It is unlikely that we will have to cancel a tour or make any changes to your travel arrangements but we reserve the right to do so with justified cause. Most of these changes are minor and we will advise you as soon as we are able. In the case of a change we will provide you with alternative travel arrangements of equivalent or of very closely similar standard and price, if available.
We will not be liable to pay any compensation if we are forced to cancel or in any way change your travel arrangements as a result of unusual or unforeseeable circumstances outside our control such as war, civil strife, industrial disputes, natural disaster, adverse weather conditions, or terrorist activity. However, we will endeavour to keep to the minimum any inconvenience caused by these special circumstances.
Cancellation and Changes by the Client:
If you decide to cancel part or all of your booking, you should contact us as soon as possible. All cancellation must be made in writing.
For the Featured Tours, Tailor Made Holidays and Weekends Breaks the following cancellation fees will apply:
Cancellation received 30 days or more prior to tour departure: 30% of the total tour price.
Cancellation received 30-7 days prior to tour departure: 60% of the total tour price.
Cancellation received less than 7 days prior to tour departure: 100% of the total tour price.
For the City Tours and other one days trips the following cancellation fees will apply:
Cancellation received 3-1 days prior to tour departure: 30% of the total tour price.
Cancellation received less than 1 day prior to tour departure: 100% of the total tour price.
If you cancel any of our tours, for any reason while the tour is in progress, there will be no refund for the unused portion.
If you wish to change any part of your arrangements after your booking has been made, please let us know as soon as possible. We will do our best to make these changes but cannot guarantee that it will be possible. Any request for changes must be made in writing. Any resulting additional expense will be the responsibility of vacation participants, and any resulting savings will be refunded by the Company to vacation participants.
All refunds will be sent within 14 days to the card with which the payment was made. We make refunds in Polish Zloty only.
PRICE INCLUSIONS AND EXCLUSIONS
Prices DO Include:
- All services specifically described in each itinerary
Prices DO NOT Include:
- Airport taxes
- Passport and visa charges
- Travel insurance
- Tips and gratuities to guides, drivers, and other service personnel
- All items of a personal nature such as telephone calls, beverages, etc.
- Any extra charge that is not specified in the itineraries
Vouchers and documentation will be issued on receipt of final payment.
It is your responsibility to fulfill the passport, visa and other applicable immigration requirements. You should confirm these with the relevant embassies and/or consulates. We do not accept any responsibility in the case of you being unable to travel due to not complying with any such requirements.
It is strongly recommended that you have adequate travel insurance for the holiday. We do not arrange travel insurance; you should arrange it independently. The insurance should include cancellation fees, loss of deposit, unexpected curtailment of your holiday, baggage and medical expenses. Clients are wholly responsible for arranging their own insurance.
Hotels are detailed at the end of each itinerary sent to you. We reserve the right to modify hotel bookings if necessary, provided always a similar category is maintained. In the event of triple room accommodation, the traveler acknowledges that in most hotels triple rooms do not exist as such, but are double rooms with an extra bed. Space or comfort limitations in this type of accommodation may imply and are accepted by the client.
Hotel grades are as officially assigned by Polish tourism authorities.
Hotels check-in and check-out time depend on hotels. In the event arrival is scheduled before check-in time, the room may not be available until that time. If the client wishes to extend the stay after the check-out hour, this must be notified at the reception, and the client must pay directly to the hotel the relevant additional price.
SPECIAL REQUESTS AND MEDICAL PROBLEMS
If you suffer from reduced mobility or have any special requirements as a result of any medical condition or disability, you must advise us before you confirm your booking so that we can assist you in considering the suitability of the arrangements and/or making the booking. Although we will endeavour to accommodate the special needs of disabled travelers, we regret we cannot guarantee all requests will be met. We cannot provide individual assistance to a vacation participant for walking, dining, getting on and off cars and other vehicles, or other personal needs. We strongly recommend that a qualified and physically able companion accompanies travelers who need such assistance. Not all sites accommodate wheelchairs and some locations and sightseeing activities require extensive standing, sitting or walking, sometimes on unpaved or cobblestone streets. We are not responsible for any missed activities due to a client’s inability to participate.
During local or national holidays or special events, peek seasons, on specific days, and during religious occasions, certain facilities such as museums, churches, restaurants, sightseeing tours, hotels, and shopping may be limited or not available. Alternatives will be offered whenever possible. We cannot be held responsible for any closures, necessary itinerary changes or curtails for any reason.
CLAIMS AND COMPLAINTS
If you have a problem during your holiday, please inform us immediately, either through email: email@example.com or by telephone. If you fail to timely contact us, we will may not have the opportunity to investigate your complaint and attempt to rectify any error while you are on the tour. If you do not raise the matter during your trip, this will affect any later claim you may make.
If the problem cannot be rectified, you must contact us in writing within 30 days after tour completion. No claims shall be accepted after such 30-day period. No guarantee is provided or warranted that any refund will be available.
DATA PROTECTION POLICY
In order to process your booking and to ensure that your travel arrangements run smoothly and meet your requirements, we need to use the information you provide such as name and address, and any special needs/requirements, etc.
We take full responsibility for ensuring that proper security measures are in place to protect your information. We must pass the information on to the relevant suppliers of your travel arrangements such as hotels, transport companies, etc.
The client declares to understand and accept the conditions described in this page.
